Automating work processes at Treant Physiotherapy

Background
Treant, a large healthcare organization in the Drenthe and Southeast Groningen region, asked Nidaros to automate processes in such a way that repetitive tasks could easily be carried out by virtual robots.
The Physiotherapy department was one of the departments where Treant saw an opportunity to apply RPA. For the administrative staff, the daily manual processing of new patients was a recurring and somewhat time-consuming task.
Every morning, the administration reviewed the list of new patients and transferred it to ParaNICE, an application used by paramedical disciplines within hospitals to schedule appointments.
At the same time, physiotherapists had to “take all new patients into consultation” in the Nexus Electronic Patient Record on a daily basis and then upload the information into ParaNICE. In this system, both each employee and each department has its own agenda. Employees had to manually transfer appointments from the departmental agenda to their personal agenda
Solution and result
To optimize the process, Nidaros started with a thorough observation at Treant’s Physiotherapy department. Sitting next to the employees, detailed questions were asked about every step in the process. What do you do every day? Why do you do this? Where does the input come from? Through this precise approach, Nidaros gained a complete understanding of the work processes.
With this knowledge, Nidaros created a detailed process diagram and work instruction — a kind of blueprint of all human actions. Subsequently, a robot was programmed to perform exactly the same actions that employees previously carried out manually: checking new patients, taking them “into consultation” in Nexus, and processing the data in ParaNICE.
The process has now been successfully implemented, and the robot is running stably. The solution runs seven times a day at fixed times, ensuring a continuous flow of processing. This has led to a significant reduction in administrative workload, resulting in more job satisfaction and freeing up time for what truly matters: attention for patients and colleagues, which in turn leads to more satisfied clients and a better working atmosphere.
